TalabStation · Platform guide

Your journey starts here

Understand the core features, school and driver onboarding, approval requirements, and the current trip workflow.

01 · The project

What is TalabStation?

A school transport platform connecting families and children with schools, groups, drivers, and vehicles. It organizes journeys between home and school, collects attendance responses, and tracks active trips on a map. Each role has its own account permissions.

The workflow: Add school → approve driver and school assignment → prepare vehicle, group, and children → schedule trip → confirm attendance → start and track → record drop-offs and complete.
02 · Core features

Who uses the platform?

Platform administrator

Creates school, parent, driver, and supervisor accounts; adds children, groups, vehicles, and trips; reviews driver documents and school-driver requests; and exports trip reports.

School administration

Updates the school profile, location, and logo; manages vehicles, groups, and schedules; assigns enrolled children to groups; suggests verified drivers for platform approval; and assigns supervisors.

Driver

Registers and verifies email, completes a profile and uploads documents, views assigned trips, starts journeys and shares GPS, records boarding and drop-off, and completes trips.

Parent

Registers and verifies email, adds multiple children with home addresses and coordinates, views their assigned trips, and responds “Will attend” or “Will not attend” before a trip starts.

Supervisor

Receives an account from the platform administrator and is assigned to a group. Views that group's trips and records boarding and drop-off within their authorized scope.

Visitor and live tracking

Views active locations on the public map without children's names or contact details. Passenger and stop details require sign-in and the appropriate permissions.

03 · Schools

School onboarding, step by step

Administrator-created accounts: Schools do not currently have a self-registration form. A platform administrator creates both the school and its administration account.
  1. Prepare the school details

Provide the school name, a valid email unused by any account, phone number, address, and a password of at least 10 characters. Limits: name 180 characters, email 255, phone 32, and address 1,000.

  2. Ask the platform administrator to add the school

The administrator uses “Add a school” in the admin dashboard. The system creates a verified school-admin account and an approved school, then the credentials are shared securely with the school.

  3. Sign in and complete the profile

Use the school sign-in page. Update contact details, description, logo, address, and coordinates. Coordinates are optional during creation but are needed to use the school as a trip endpoint and for daily generation.

  4. Prepare vehicles and groups

Register a bus or taxi with a unique registration number, capacity between 1 and 100, and an appropriate status. Create a group, select a verified driver approved for this school, and optionally assign an approved supervisor and a vehicle belonging to the school.

  5. Assign children and save schedules

A parent or administrator adds the child and links them to the school; the school then assigns enrolled children to groups. For daily generation, save departure and arrival times for each required direction, between 8 AM and 3 PM, with arrival after departure.

Coordinate ranges: latitude −90 to 90; longitude −180 to 180. The current school creation form does not request a school license document.

04 · Drivers

From registration to an assigned journey

  1. Create a driver account

Open driver registration and enter your full name, valid unique email, phone number, and a password of at least 10 characters with matching confirmation. Limits: name 120 characters, email 255, phone 32. An administrator can also create a driver account.

  2. Verify your email

Self-registered accounts must verify email before accessing the driver portal. Open the verification link or request another message from the verification page.

  3. Complete your driver profile

Enter your name, phone, and current coordinates, and add a profile photo on first completion. You can also add an address, biography, license number, and vehicle photo. Coordinates are required when saving the profile.

  4. Upload approval documents

Upload your license and national ID. An incomplete profile can be saved, but administrator approval requires a profile photo, coordinates, and both documents. The license number and vehicle photo are currently optional fields.

  5. Wait for administrator review

The administrator reviews the documents and sets the status to pending, approved, or rejected. Replacing the license or national ID, or changing the license number, resets verification to pending and requires another review.

  6. Obtain approval for a school assignment

Once driver verification is approved, a school can suggest the driver for platform review, or an administrator can recommend the driver directly to a school. Only after that school-driver relationship is approved can the driver be assigned to its group and trips.

Three separate stages: Email verification unlocks the portal. Document approval makes the driver eligible for recommendations. Platform approval of the school-driver relationship enables assignment to that school. Creating an account alone does not make it ready for trips.

License and national ID documents are private. Only platform administrators can access them for review; they are not exposed to visitors, parents, or schools.

06 · Trips and attendance

What makes a journey ready to run?

  • An administrator schedules a school-bound or home-bound trip, or daily generation creates it from a group schedule. Daily generation is scheduled for 6 AM in the application timezone and requires the scheduled service to be running.
  • Daily generation needs an approved school with coordinates, an active group, a verified driver approved for that school, an active school vehicle, children with home coordinates and current memberships, and complete departure/arrival times. Incomplete configurations are skipped.
  • Parents respond to attendance before the trip starts. They cannot change their response once it has started.
  • Only the assigned driver can start a trip. Their profile must be approved and have coordinates. Starting is allowed from 30 minutes before departure until 30 minutes after arrival, and within 8 AM–3 PM.
  • After starting, the driver selects “Share current GPS,” grants location access, and keeps the page open. The public map refreshes every 15 seconds and shows active trips with a location recorded within the last 5 minutes.
  • The assigned driver or group supervisor records boarding and then drop-off. Drop-off requires boarding first; a child marked absent cannot be boarded. A trip cannot be completed while any child is still marked onboard.
Scoped visibility: Parents see their own children and stops, schools see their trips, drivers see assigned trips, and supervisors see their groups. Today's CSV export follows the viewer's permissions and includes scheduled, active, and completed trips.
07 · Common questions

What should I check if a step is blocked?

I registered as a driver, but no trips appear. Why?

Check email verification, profile photo and coordinates, document approval, approval for the school-driver relationship, and an actual trip assignment. These are separate stages.

The school cannot be selected as an endpoint, or daily generation skips the group.

Check school and child coordinates, current group memberships, driver verification and school approval, vehicle status and school ownership, and departure/arrival times. Ask the platform administrator to confirm scheduled generation is running.

My verification email is missing, or my GPS is not updating.

Request a new verification email, check spam, and contact the administrator if it still does not arrive. For GPS, allow location access, open the driver page, start the trip, select GPS sharing, and check the connection and save-status message.

This guide describes the platform's current rules. It does not introduce legal requirements or licensing checks that are not represented in the registration forms.
